How to Automate Lead Follow-Up in GoHighLevel (Step by Step)
GoHighLevel can reply to every new lead in seconds and keep following up until they book — if the workflow is built properly. Here’s the setup we use, step by step.
We build the funnels, stores and CRMs we write about — this isn't outsourced content.

If you want to automate lead follow-up in GoHighLevel, the platform already has everything you need: workflows, triggers, SMS, email, WhatsApp, internal notifications and pipelines. The difference between a follow-up system that books calls and one that annoys people comes down to how those pieces are put together.
This guide walks through the lead follow-up workflow we build for clients, in the order we build it. It assumes you have a GoHighLevel sub-account with a phone number and email sending set up. If you’re new to the platform, start with what GoHighLevel is; if you want the “why” behind fast replies, read our guide to speed-to-lead.
Before you build: plan the follow-up
Ten minutes of planning saves hours of fixing. Write down:
- Where leads come from — website forms, Facebook or Instagram lead forms, calls, chat, landing pages.
- What a “good outcome” is — usually a booked call or appointment.
- Who follows up — one person, a team, or round-robin.
- Which channels you can use — SMS (with the right registration), email, WhatsApp, calls.
- When to stop — when they reply, book, or after the last message in the sequence.
Step 1: Get the foundations right
- Phone number and texting registration. If you text US numbers, complete A2P 10DLC registration first — see our A2P 10DLC registration checklist for GoHighLevel.
- Email sending domain authenticated, so follow-up emails reach the inbox.
- A pipeline with simple stages such as New Lead, Contacted, Booked, Won and Lost.
- A booking calendar with your availability, so messages can include a booking link.
- Custom fields for anything you ask on the form, such as service needed or location.
Step 2: Create the workflow and add triggers
In Automation, create a new workflow from scratch (new to the builder? See how to build workflows in GoHighLevel). Add a trigger for each lead source, so every lead goes through the same follow-up:
- Form Submitted — for your website and funnel forms.
- Facebook Lead Form Submitted (and other ad integrations) — for ad leads.
- Survey Submitted — if you use surveys as forms.
- Chat widget or inbound message triggers — for people who start a conversation.
Add filters on each trigger where needed — for example, only a specific form — so one workflow doesn’t accidentally fire for unrelated submissions.
Step 3: Reply instantly
The first actions run the moment a lead arrives:
- Create or update an opportunity in the New Lead stage of your pipeline.
- Send an SMS or WhatsApp message thanking them by name and offering a booking link.
- Send an email with the same information and a little more detail.
- Send an internal notification to the person responsible, with the lead’s details.
- Assign the contact to a user, or use round-robin if leads are shared.
Step 4: Build the follow-up sequence
Many leads won’t reply to the first message. Use Wait steps to space out a short sequence. A typical structure for service businesses:
- A few minutes later: a task or notification reminding the team to call.
- Later the same day: a short, friendly text check-in if there’s no reply.
- Next day: an email answering a common question or showing an example of your work.
- A couple of days later: another text with the booking link.
- About a week later: a final, polite message, then move the lead to a long-term nurture list.
Set Wait steps to respect business hours using the wait settings, so messages don’t arrive at 2 a.m.
Step 5: Stop at the right moment
Nothing annoys a lead more than getting “Just checking in!” after they’ve already replied or booked. GoHighLevel gives you several ways to prevent this:
- Stop on response in the workflow settings ends the workflow when the contact replies.
- Goal events let the contact jump out of the sequence when they book an appointment or reach a pipeline stage.
- If/Else branches check conditions, such as whether an appointment exists, before sending the next message.
- A separate “appointment booked” workflow moves the opportunity to Booked and starts reminders instead.
Step 6: Catch calls and replies
Add a separate workflow for missed calls, so callers who couldn’t reach you get an instant text — see missed-call text-back. Make sure replies from leads land in the Conversations inbox and notify the assigned user, so a human can pick up the conversation straight away.
Step 7: After they book
When a lead books, a different workflow takes over: confirmation, reminders before the appointment, and a no-show follow-up if they miss it. Our guide to appointment reminder automation covers this part in detail.
Step 8: Test before going live
- Submit each form with a test contact using your own phone and email.
- Check every message arrives, with the right name and links.
- Reply to a message and confirm the sequence stops.
- Book an appointment and confirm the lead leaves the follow-up and enters the reminder workflow.
- Check the Execution Logs in the workflow to see each step that ran.
Measure and improve
- Lead-to-booking rate by lead source.
- Reply rate for each message in the sequence.
- Time to first human contact.
- Leads still in New Lead after a few days — a sign that follow-up is slipping.
Change one message at a time and watch the numbers. Often the biggest gains come from a better first message and faster human calls, not from adding more steps.
Common lead follow-up mistakes in GoHighLevel
- Texting before SMS registration is complete, so messages are filtered.
- No stop rules, so people who already booked keep getting follow-ups.
- Messages sent at night because Wait steps ignore business hours.
- One giant workflow doing everything, which becomes hard to fix.
- Generic, robotic messages that don’t mention what the lead asked about.
- Relying only on automation — leads still want to talk to a person.

Frequently asked questions
Create a workflow with triggers for each lead source, such as Form Submitted or Facebook Lead Form Submitted. Add an instant SMS or WhatsApp and email reply, notify your team, then use Wait steps to send a short follow-up sequence with a booking link. Add stop rules so the sequence ends when the lead replies or books.
Turn on Stop on response in the workflow settings. You can also use goal events and If/Else checks so contacts leave the sequence when they book an appointment or reach a certain pipeline stage.
For most service businesses, an instant reply plus three or four follow-ups spread over about a week works well, ending with a polite final message. Stop as soon as the lead replies or books.
If you text US phone numbers from a standard local number, yes. Complete A2P 10DLC registration before sending, or carriers may filter or block your messages.
