GoHighLevel Power Dialer: A Setup Guide for Calling Teams
GoHighLevel has a built-in power dialer that turns your call list into a queue your team can work through, one contact after another. Here’s how to set it up and run it well.
We build the funnels, stores and CRMs we write about — this isn't outsourced content.

The GoHighLevel power dialer lets a calling team work through a list of contacts one after another, straight from the CRM. Instead of hunting for the next lead, copying numbers or forgetting who still needs a call, each team member opens their queue and starts dialling. Every call stays attached to the contact’s history, pipeline and follow-up.
This guide explains how the dialer works in GoHighLevel, how to fill call lists automatically with workflows, and how to set things up so calls lead to booked appointments rather than just activity.
How the GoHighLevel power dialer works
- Call tasks live in Manual Actions, inside Conversations. This is the list of calls waiting to be made.
- Workflows add contacts to the list using a manual call action. A trigger — a new form lead, a tag, a pipeline stage — decides who gets added.
- The dialer works through the list. Your team member places each call from the queue, then moves on to the next.
- Each call gets an outcome — such as no answer, busy, voicemail or completed — which can drive what happens next.
- Calls can be assigned to specific team members, so each person has their own queue.
Because it runs on GoHighLevel’s own phone system, calls use your sub-account’s phone numbers and appear in each contact’s conversation history.
Before you start
- Phone numbers set up in the sub-account, ideally local numbers for the areas you call.
- Users created for each caller, with permission to make calls.
- A clear pipeline, so outcomes can move deals forward — see our GoHighLevel pipeline setup guide.
- Consent and calling rules checked for the places you call. In the US, telemarketing rules and do-not-call lists apply; make sure you have permission to contact people on your lists.
- Text messaging registration, if callers will follow up by SMS — see our A2P 10DLC registration checklist.
Step-by-step setup
1. Decide who should be called, and when
Write down the calling lists you need. Common examples: new inbound leads, leads who haven’t booked, no-shows, quotes waiting for a decision, and past customers due for a check-in. Each list becomes a workflow.
2. Build a workflow that adds calls to the queue
In Automation, create a workflow with the right trigger — for example, a form submission, a tag such as “call-queue”, or an opportunity entering a stage. Add the manual call action and assign it to a user or let it go to the team. Add filters so only the right contacts enter.
3. Add a short script or notes
Give callers a few talking points: who you are, why you’re calling, one or two qualifying questions and the next step — usually booking an appointment. Keep it short so it sounds like a conversation.
4. Work the queue from Manual Actions
Team members open Manual Actions, start the call queue and work through it. After each call, they log the outcome and any notes, then move to the next contact.
5. Automate what happens after each outcome
- No answer or voicemail → send a short text with a booking link, and add the contact back to the queue later.
- Completed with a booking → move the opportunity to “Appointment booked” and start reminders.
- Not interested → mark as lost with a reason and stop the calling sequence.
- Wrong number or do not call → tag the contact and remove them from all calling workflows.
Our guide on how to build workflows in GoHighLevel explains triggers, branches and stop rules in more detail.
A simple call cadence for new leads
- Call as soon as the lead comes in — this is where speed-to-lead makes the biggest difference.
- If there’s no answer, send a short text right away.
- Try again later the same day.
- Try once more the next day, at a different time.
- Then move the lead into an email and SMS nurture sequence.
Stop calling as soon as the lead replies, books or asks not to be contacted. Persistence helps; pestering doesn’t.
Tips for calling teams
- Call during sensible hours for the lead’s time zone.
- Use local numbers where you can — people are more likely to answer a familiar area code.
- Set a daily calling block so the queue doesn’t pile up.
- Review outcomes weekly — contact rate, booking rate and common objections.
- Catch inbound calls too. When leads call back, make sure someone answers or missed-call text-back replies instantly.
Built-in dialer or an external dialer?
GoHighLevel’s built-in power dialer suits most small and medium calling teams because everything stays in one place. Large outbound teams sometimes add specialist dialer apps that integrate with GoHighLevel for features such as parallel dialling or advanced call analytics. If you’re considering one, check how it syncs contacts, call outcomes and recordings back to the CRM, and whether it fits your compliance requirements.
Common GoHighLevel power dialer mistakes
- Adding everyone to one giant call list with no priorities.
- No outcomes logged, so nobody knows what happened on each call.
- Calling without consent, or ignoring do-not-call requests.
- No follow-up text after missed calls.
- Leads staying in the queue after they’ve booked.
- Calls happening, but the pipeline never updated.
